How Auric Systems collects, uses and protects personal data on this website and in the Swarnabook apps.
In short
- We collect only what we need to run Swarnabook and to reply to you.
- Each business keeps its data in its own separate database. That data belongs to the business.
- We do not sell personal data. We do not use our clients' data to train AI.
- You can ask us to show, correct or delete your data at any time.
1. Who we are
Swarnabook is designed, built and supported by Auric Systems, Mumbai, Maharashtra, India (GSTIN 27CQWPP7509K1ZU). In this policy, "we", "us" and "Auric" mean Auric Systems.
This policy covers this website, www.swarnabook.com, and the Swarnabook apps: Swarnabook Office, Swarnabook Staff, the Owners Live Portal and the branded buyer apps we build for our clients.
2. Our two roles
This website and enquiries sent to us. Here we decide how personal data is used. Under India's Digital Personal Data Protection Act, 2023, we are the Data Fiduciary for this data.
Data a business keeps in Swarnabook. Our clients are jewellery businesses. The records a client keeps in Swarnabook (its buyers, staff, karigars, suppliers, stock and orders) belong to that client. The client decides how that data is used and is its Data Fiduciary. We process it only on the client's instructions, to run and support Swarnabook.
If you are a buyer, staff member, karigar or supplier of one of our clients, please contact that business first about your data. We will help them answer you.
3. Data from this website
When you send the consultation form
We collect your name, mobile number, email, business name, city and business type, plus anything else you choose to tell us: the modules you are interested in, showroom and staff counts, the best time to call and your message. We also note the page you started on, the site that sent you to us and any campaign tags in the link you used. Our team gets a WhatsApp alert so we can call you back.
When you visit
We record anonymous visit analytics: a random session ID, the pages you view, how far you scroll, how long you stay, the buttons you tap, the site that sent you, campaign tags in the link, your device type, browser, operating system, screen size and country. We work out the country without storing your IP address. This data does not include your name, and we do not link it to the form.
Cookies and browser storage
We do not use cookies. We keep a few small values in your browser's storage: your light or dark mode choice, the session ID and page count used for analytics, and an opt-out flag. To turn analytics off on your device, open any page of this site with ?internal=1 added to the end of the address.
Other services on these pages
Our pages load fonts from Google Fonts, so Google receives your IP address and browser details when a page opens. If you tap "WhatsApp us", that chat is handled by WhatsApp (Meta) under its own privacy policy.
4. Data in the Swarnabook apps
What the apps hold depends on what each client uses. It can include:
- Business records: catalogue, designs and product photos, stock and tags, orders, vouchers, ledgers, and records of karigars, suppliers and customers (names, phone numbers, GSTIN, addresses and trading terms).
- Staff accounts: name, login, role, and an activity log of who did what and when.
- Buyer app: the mobile number used to log in with a one-time code (OTP), name, business details such as GSTIN, orders and cart, and any voice notes or photos a buyer adds to an order.
- Notifications: a device token so the app can receive alerts.
- Face ID and fingerprint unlock: these work on your phone only. We never receive biometric data.
- WhatsApp messaging: when a client connects its WhatsApp Business number to Swarnabook, we hold the IDs of its WhatsApp account and number, a secure access key that lets Swarnabook send on the client's behalf, its buyers' phone numbers, the messages sent and received through Swarnabook, and their delivery status.
- AI Studio: the product photos and instructions a client chooses to send, and the images that come back.
5. How we use data
- To reply to your enquiry and prepare a proposal for you.
- To see which pages help visitors and to improve this website, using analytics in total, not person by person.
- To run Swarnabook for our clients: syncing records between devices, backups, notifications, the WhatsApp messages a client sends, support and fixing problems.
- To keep Swarnabook secure and to meet our legal duties.
We do not sell personal data. We do not show ads. We do not use our clients' data for marketing, benchmarking or to train any AI model.
7. Where data is stored
Swarnabook data is stored on Appwrite Cloud in Frankfurt, Germany (European Union), in a separate database for each business. Records kept on the office PC are encrypted on that PC. Some providers listed above, such as Google and Meta, may process data in other countries under their own safeguards.
8. How long we keep it
- Enquiries: while we are in discussion with you, then up to 3 years for our business records, unless you ask us to delete them sooner.
- Website analytics: up to 24 months. It is anonymous.
- Client business data: for as long as the client uses Swarnabook. When a client leaves, we give them an export on request and then delete their data, except copies the law requires us to keep.
9. How we protect it
- A separate database for each business, so one business can never see another's records.
- Role-based access. Staff see only what their role allows, and buyers see only their own orders.
- Encrypted connections (HTTPS) everywhere, and encryption at rest on the office PC.
- Access keys for WhatsApp and other services are kept on our servers, not on staff phones.
No system is perfectly secure. If a breach affects your personal data, we will tell you and the Data Protection Board of India as the law requires.
10. Your rights
Under India's data protection law you can:
- Ask what personal data we hold about you and how we use it.
- Ask us to correct, complete or update it.
- Ask us to delete it.
- Withdraw your consent. We then stop using the data for that purpose.
- Make a complaint to us, and then to the Data Protection Board of India if you are not satisfied.
- Name another person to act for you if you die or cannot act yourself.
Email info@auricsystems.in from the email or mobile number you used with us. We aim to reply within 7 working days and to complete requests within 30 days.
11. Delete your data
To ask us to delete the data we hold about you:
- Email info@auricsystems.in with the subject "Delete my data".
- Tell us your name and the mobile number or email you used. If you are a buyer or staff member of one of our clients, also tell us the business name.
- We confirm your request, delete the data within 30 days and tell you when it is done. We keep only what the law requires.
If you connected your business to Swarnabook through Facebook or WhatsApp, you can also remove Swarnabook's access at any time: in Facebook, go to Settings, then Business Integrations. To disconnect your number, open the WhatsApp Business app and go to Settings, Account, Business Platform.
12. Children
Swarnabook and this website are made for businesses. They are not meant for anyone under 18, and we do not knowingly collect children's data.
13. Changes to this policy
When we change this policy, we update the date at the top of this page. If a change is important, we will also tell our clients directly.
